  • Images of your property for service purposes, including roof clearing photos

  • GoPro or similar video footage under our Video Recording & Data Policy

  • Recorded phone calls for quality assurance

  • Technical information via cookies, tracking pixels, and analytics tools

2. How We Collect Information

We collect data through:

  • Website forms and online booking systems

  • Phone calls, text messages, and emails

  • Scheduling software (Acuity)

  • Payment processors (Stripe, PayPal, Affirm, Wix, SquareSpace)

  • Cookies, tracking pixels, and analytics services including Google Analytics and Facebook Pixel

  • In-person service visits

3. How We Use Your Information

Your information is used to:

  • Provide and manage our snow removal and related services

  • Process payments securely

  • Communicate about service scheduling, updates, and approvals

  • Improve our operations and marketing

  • Maintain security and prevent fraud

  • Resolve disputes and verify service performance

4. Sharing of Information

We do not sell your personal data for monetary gain. We may share your information with:

  • Payment processors (Stripe, PayPal, Affirm, Wix, SquareSpace)

  • Scheduling software (Acuity)

  • Contractors engaged to perform specific services (e.g., RoofGuard)

  • Marketing services (Google, Facebook, or similar platforms)

  • Other parties as we deem necessary on a need-to-know basis to perform services

  • Legal authorities when required by law

5. Data Retention

We retain personal data for up to two (2) years from the date of last service, after which it is securely deleted unless otherwise required by law.

6. Cookies and Tracking

We use cookies, pixels, and similar technologies for analytics, marketing, and operational purposes. This includes Google Analytics, Facebook Pixel, and other tools that may be in use at any given time. You may disable cookies in your browser, though this may affect site functionality.

7. Use of Testimonials, Photos, and Footage

  • Testimonials – May be used in marketing unless a client submits a complaint, in which case the Owner’s decision is final.

  • Property Photos – Require client approval prior to public use.

  • GoPro Footage – Governed by our Video Recording & Data Policy and is not considered client-owned content.

8. Video Recording & Data Policy

Black Ice LLC utilizes GoPro or similar recording devices operated by our Winter Specialists for the purposes of training, quality assurance, and internal dispute review.

  • Ownership & Custody – All recording devices are the personal property of the Winter Specialists operating them. Video files are temporarily uploaded to a secure, encrypted cloud account administered for internal review only. Black Ice LLC does not serve as the legal custodian of these files beyond the internal review period.

  • Retention Period – Unless flagged for internal review by management, footage is automatically deleted or overwritten after 30 calendar days from the date of recording. Deletion occurs via automated system and is irreversible.

  • Access Restrictions – Recordings are not public records and will not be shared with clients, third parties, or legal entities except where legally required under a valid court order issued in the State of Alaska and not subject to valid privacy objections.

  • Privacy Protections – Recordings may contain sensitive images of employees, private residences, and proprietary work methods. Black Ice LLC asserts all applicable privacy rights under Alaska and federal law to restrict disclosure.

  • No Legal Reliance – Clients may not rely on recordings for legal claims or defenses, and by accepting these Terms, you acknowledge that Black Ice LLC is under no obligation to preserve or produce any footage except where expressly required by law.

9. Data Security

We use industry-standard best practices to protect your information, including encryption, secure servers, and restricted access. However, no method of storage or transmission is completely secure, and we cannot guarantee the absolute prevention of breaches.

10. Your Rights

You may request to:

  • Access, update, or delete your personal data

  • Withdraw consent for certain data uses

  • Limit certain data processing activities
